Key accountabilities:Reception accountabilities: - Answer and re-direct incoming calls on main switch
- Meet and greet visitors
- Ensure reception area is presentable at all times
- Oversee room bookings
- Liaison with catering staff for meetings
Administration accountabilities: - Daily administration tasks as requested by management, including but not limited to (please note these may change in line with business requirements):
- Processing of departmental invoices, orders and data entry as required, for example travel, stationery, telephones.
- Assist with travel arrangements/bookings for ITOps division.
- Processing of monthly Business Travel Account for both Australia and New Zealand including distribution to travel co-ordinators to seek approval to pay.
- Ensure payment is made within timeframe so account does not go into arrears in the following month.
- Ordering of business cards in accordance with the bank’s guidelines on online ordering system. Processing of invoices for same and journaling for initial business card shell supply.
- Approving of stationery orders for both Australia and New Zealand by logging into supplier’s website each morning and afternoon to release orders if in accordance with stationery policy.
- Assist with processing monthly telephone and blackberry invoices for payment by using online billing system for both Australia and New Zealand. Maintenance of online billing system ensuring user names and cost centres are current.
- Assist with processing monthly vehicle fleet invoices for both Australia and New Zealand.
- Assist with monthly archiving and secure destruction invoices – allocation to relevant cost centres for both Australia and New Zealand.
General accountabilities: - Ensure proper shift handover is completed accurately and job share partner is aware of any issues.
- Joint accountability and flexibility to ensure the reception desk is always covered.
- Other duties as required
Business Knowledge: - Experience working in financial services (desirable).
- Understanding of the role of Receptionist / Administrator in the banking environment.
Leadership Skills: - Demonstrated initiative.
- Common sense approach to office management / administrative tasks.
Interpersonal Skills: - Excellent verbal communication skills.
- Professional presentation.
- Ability to work independently and self-motivated.
- Ability to build good relationships at all levels.
Customer Focus: - Strong client focus and ability to resolve service issues.
- Flexible attitude.
Technical and Specialist Skills: - Proficient in the use of Microsoft Outlook, Word, PowerPoint and Excel.
- Experience in switchboard operations.
- General aptitude for learning new IT systems.
- Typing speed minimum 50wpm.
- Proficient using intranets and the internet.
Planning and Organisation: - Ability to prioritise work and remain calm under pressure.
- Strong attention to detail.
- Flexible and able to work with job share partner and Business Services team to ensure constant cover of the reception desk. This may require rotating shifts and / or occasional additional days worked to cover job share partner.
Qualifications and Experience: - At least five (5) years prior experience in reception, administrative or office based support work.
- Switchboard experience.
